We are seeking a detail-oriented and organized Accounting & HR Administrator to manage our financial operations and minor HR functions.
Position Overview
The Accounting & HR Administrator will be responsible for handling the firm’s financial and accounting functions, including accounts payable and receivable, payroll, bookkeeping, and project profitability tracking. Additionally, this role will oversee minor HR administrative tasks, such as tracking employee time sheets, vacation and sick time, and coordinating insurance policies.
Key Responsibilities
Accounting & Finance
Manage accounts payable and receivable, ensuring timely payments and collections.
Maintain accurate financial records, including general ledger and bank reconciliations.
Process payroll through our ADP portal and ensure compliance with payroll tax regulations.
Track and report project profitability to assist in financial planning and decision-making.
Assist in budget preparation and financial forecasting.
Work closely with the principals and project managers for financial reporting.
Work with external CPA for tax filings.
Human Resources Administration
Track and maintain employee time sheets, vacation, and sick time records.
Administer and coordinate annual renewal of health and professional liability insurance policies.
Ensure compliance with employment policies and maintain employee records.
Provide support for HR-related inquiries and assist in onboarding new employees.
Qualifications & Skills
Experience: Minimum of 3-5 years of experience in accounting, bookkeeping, or financial management. Experience in a professional services or design firm is a plus.
Education: Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
Technical Skills: Proficiency in accounting software (e.g., QuickBooks), Microsoft Excel, and payroll processing tools.
Detail-Oriented: Strong attention to detail with excellent organizational skills.
Communication: Ability to effectively communicate with employees, vendors, and principals.
Problem-Solving: Ability to analyze financial data and provide insights for decision-making.
